Devon Christian Youth Camps (DCYC) is a registered charity established in 1946. The camp’s
aim is to encourage and equip the people of the south west in their relationship with Jesus.
It does this by running residential camps for families and young people – five different
weeks of fun-filled mayhem in a field by the sea in stunning Blackpool Sands, South Devon.
Defining the problem
The existing website and booking system were no longer fit for purpose, creating more work
and problems than it solved. An organisation which is ran entirely by volunteers there
needed to be a single central system to improve the administration of running camps,
especially for the camp managers.
Designing the solution
We tasked both a developer and a designer to work on this project. The challenge was to
create a booking system fit for the Camp Customer and to design, from the ground up, a
system to help manage the process of running camps.
Working closely with the organisation, we mapped all the processes and created a bespoke,
secure portal, with custom user access defined by their role profile. Through weekly Skype
calls and regular meetings, the system was built, tested, improved, tested, reviewed and
tested further to ensure technical excellence and the end-user experience matched
Delivering the results
The new site added extra functionality so that it could tie in with the roles and responsibilities of each member of the team. The portal was built with the knowledge and software enabling it to evolve to capture additional processes as required.
The Customer Experience has so far been positive with a fantastic number of early bookings being made onto the system. The Camp Managers are using the tools to engage with campers and volunteers. One specific time saver is with the volunteer references and
